Parties and responsibility for the processing of your personal data

SoftOne AB (publ):556239-4717, Box 596, 101 31 Stockholm, is a software provider of cloud-based software, which is referred to below as the “Service”. SoftOne is a personal data processor for the processing of customers’ personal data in the Service. The personal data controller for the processing of your data in the Service is the “Customer”, which is the registered company with SoftOne. You who are a user and have your own login details for the Service are referred to below as the “User”.

SoftOne is the personal data controller for the processing of the personal data that you share with us when:

  • you become a customer with us
  • the service is started
    you receive login information and become a user of the Service
  • you use SoftOne’s app
  • you register for one of our courses
  • you have a question and/or contact us
  • you visit our website and accept cookies

What personal data do we process about you?

Which personal data is processed varies. When you order the Service, we collect your contact details and company details. All users have registered contact details, login details and online ID with us in order to use the Service. The customer may upload images to the Service, which will then be processed by us. When registering for our courses, we need the participant’s contact details and company details, as well as process training details about the course you took. If you have a question or contact us regarding any other matter, the amount of personal data and what it is may vary depending on the communication channel used. Categories of personal data are usually contact details, online ID, company details and the case itself as unstructured material, which contains the personal data you have chosen to share with us. A detailed list of which personal data appears within the various categories, on which occasions and on which legal basis the processing is based, can be found in Appendix 1.

Why do we process your personal data?

SoftOne collects personal data about you as a user and customer in order to provide the Service, fulfill obligations towards you according to the agreement, and give you the best possible experience of both the Service and our website. It is needed for us to identify you, administer your account, for statistical purposes and for direct marketing (from which you can opt out). The personal data collected when ordering is needed to process the order, invoice and send you login information. All users’ personal data is needed to be able to give you access to the Service, to be able to use the Service, to be able to create a treatment history for you as a customer, to be able to identify yourself and to know which users and customers are using the Service. When using the SoftOne App, you agree that SoftOne gets access to your camera mobile and image gallery so that you can upload and process your images in the Service. Contact details, company details and information about which course you are a participant in are needed to fulfill our commitments for educational services such as handling your registration and invoicing. We also process the data to send evaluations and carry out follow-up to which you consent. When you contact us via one of SoftOne’s communication channels, the information about you is used to be able to handle the case, to be able to contact you and also contributes to improving our service by saving the case in case of recurring questions. If you visit SoftOne’s website, you agree to cookies for the processing of your data.

Who do we share personal data with?

In the use of certain programs or functions in the programs, we may share personal data with subcontractors to SoftOne within the EU/EEA. The suppliers have corresponding obligations regarding the processing of personal data that you, as a customer, have agreed with us and which is set out in the Personal Data Protection Agreement. We may need to share the personal data with other companies within the group in order for us to be able to provide the Service and fulfill our commitments to you. We share personal data about users and customers between the companies within the group when you have a case for us, if the information is needed to be able to help you. If you choose to activate an account integration in the Service, we will share the personal data that that integration requires, which then takes place at your request.

How long do we store your personal data?

SoftOne saves personal data about you as a customer as long as there is a customer relationship or is necessary to achieve the purposes described in this policy. Upon termination of the agreement, SoftOne will delete or anonymize your data within a reasonable time after termination, unless another Swedish or European law, court or authority says otherwise. Your data may be saved based on balance of interests if there are security or financial reasons. How long your personal data as a user is stored with us varies depending on the purpose for which it was collected. Data collected when you contact us are stored as long as you are a customer with us to fulfill our commitment. At the end of the customer relationship, we can store it based on balance of interests as evidence in case problems arise. The storage is then limited to one system and with controlled authorization control.

What rights do you have?

As registered with SoftOne, you have several rights that you should be aware of. You have the right, free of charge, once a year, provided you have legitimate reasons, to request an extract from the register of what information is registered about you. In some cases, you also have the right to data portability of the personal data. You have the right to have your personal data corrected if it is incorrect, incomplete or misleading and the right to restrict the processing of personal data until it is changed. You have the right to be forgotten, but deletion of personal data cannot take place if it is required to fulfill the agreement or if another Swedish or European law, court or authority decision says otherwise, and if it is based on a balancing of interests. Should you think that there are no justified reasons or that the balancing of interests is incorrect, you have the right to object to the processing. You also have the right to withdraw consent, submit complaints about the processing to the Data Protection Authority, oppose automatic decision-making, profiling and object to direct marketing.
